How to Process OS Commerce Orders
The Order is Received
Once an order is placed, the Store Owner will receive a notification email (the customer will also receive a confirmation email at the same time). This email will contain a detailed list of items sold, quantity, and customer information. It will never include the credit card numbers because of the insecure nature of emails. If a customer paid with PayPal, the money is already in your PayPal account. You may withdraw it at anytime and transfer it to your bank account within the PayPal website.
Viewing the Order
Log in to your Shopping Cart Administration Area at http://yourdomain.com/admin. Enter your email and password. Once you’ve logged in, Click on “Customers” on the left-hand menu. This will simply open up the menu items under Customers. Click on “Orders” under the “Customers” menu heading. Here you will see all the orders sorted by newest to oldest. Notice the Status column: An order will be “Pending” until you manually change it to “Completed” when the order has been sent out.
Note: If a customer is paying with check, you may be waiting for the check to clear before shipping items. This is especially where the Status is useful to sort out orders.
Printing the Packing Slip
Clink on the row of the Order in question. Then click on the “packing slip” button on the right side of the screen. A new window will open up and display the Packing Slip with all the necessary fields filled in.
Note: If the “Ship To” Address matches the “Sold to” address, the “Ship To” area will be blank on the Packing Slip.
To print the page, simply go to File -> Print. Then click the “Print” button.
Completing the Order
Note: The Shopping Cart system will automatically deduct stock levels within its own database. You won’t need to manually do that.
Now that the package is ready to be shipped. All you need to do is change the status of the order from “Pending” to “Completed”. Close the Packing Slip window if it’s still open. You should see your list of orders. Click the order you want to change status on. Then click the “Edit” button on the right. There is a drop down box which currently says “Pending”. Simply change it to “Completed” and click the “Update” button in the middle of the page.
